Karana Data Courier on the HubSpot App Marketplace: What Is It and What Does It Do?
Karana Data Courier Is Live: What It Is, What It Costs, and How to Get Started
Karana Data Courier is now live in the HubSpot App Marketplace, and it’s featured in the Marketplace’s “New Apps” section. It’s the first app from Unlimited Tech Solutions, and with it, Unlimited is now both a HubSpot Elite Solutions Partner and a HubSpot Technology Partner.
Here’s what Data Courier is, who it’s for, what’s included, how it keeps your data secure, what it costs, and the five steps to get it running after you install it.
Some systems can’t connect to HubSpot directly. Think of an older ERP, an accounting tool, or software that runs on your own servers.
Many of those systems can still do one thing: export data on a schedule, like a spreadsheet or report, and drop it in a secure folder outside the system. Data Courier uses that.
That secure folder lives on an SFTP server. Data Courier picks up files from the folder on a schedule and brings the data into HubSpot. It can also send HubSpot data the other way by leaving a file in the same folder for your system to pick up. No code, and no custom integration required.
Data Courier is for any team that needs data moving between HubSpot and a system that can’t connect to it directly. That usually means one of these:
1. ERPs that can’t take a direct integration, because of a security review, an older version, or a vendor that doesn’t offer an API.
2. On-premise and legacy software that runs on your own servers.
3. Industry-specific tools that nobody has built a HubSpot connector for.
4. Partners and suppliers who already send you data as files.
It can scale from simple to complex. Some teams use it for a single nightly file, like sending new closed-won deals to finance. Others use it for a full two-way exchange with an ERP across several HubSpot objects.
If your team is exporting a spreadsheet every week and importing it by hand, Data Courier can do that for you.
1. Exports and imports for contacts, companies, deals, line items, tickets, products and custom objects.
2. CSV and XLSX files, with your choice of delimiter and headers.
3. Flexible schedules, from every 15 minutes to monthly, or run a job on demand.
4. Filters and incremental exports, so you can send only the records you need, or only what changed since the last run.
5. Column mapping from a sample file, so incoming data lands in the right HubSpot fields.
6. Create, update or upsert, with deduplication so records aren’t created twice.
7. Automatic archiving of processed files, so nothing is imported twice.
8. A dashboard and job history showing every run, records processed and any errors, with one-click retries.
9. A built-in file browser for your SFTP server, so you can upload, download and move files without leaving HubSpot.
1. Encrypted credentials: your SFTP login is encrypted at rest with AES-256-GCM and used only for the jobs you set up.
2. Stops at the folder: Data Courier only works with your SFTP folder. It never logs in to or reaches into your other system, in either direction.
3. No firewall changes: your other system never has to open up to HubSpot. Files move through the SFTP server instead.
4. HubSpot’s own import engine: Data Courier never writes to your records directly. Imports run through HubSpot’s native import tools, so you keep HubSpot’s validation and import history.
5. Read-only CRM access for exports, plus extra permissions only when an object type needs them.
Data Courier is usage-based: $1.50 per sync. There’s no long-term contract and no upfront fee.
One sync is one file processed by an import or export job. The price is the same no matter how big the file is or how many records it holds. If your system sends one file with everything in it, each run costs $1.50. If it sends four separate files, each run costs $6.
Here’s roughly what one file costs per month at different schedules:
|
Schedule |
Syncs per month |
Approximate cost |
|
Once a day |
30 |
$45 |
|
Twice a day |
60 |
$90 |
|
Every hour |
720 |
$1,080 |
|
Every 15 minutes |
2,880 |
$4,320 |
Most teams find a daily or twice-daily schedule covers what they need. HubSpot’s own daily limits also apply: paid portals get 50 imports and 30 exports every 24 hours.
Unlimited Tech Solutions has been a HubSpot Elite Solutions Partner for years, helping companies implement HubSpot, run RevOps, and integrate HubSpot with NetSuite and other ERPs. With Data Courier, Unlimited is now also a HubSpot Technology Partner, one of a small group of partners that both build apps on HubSpot and implement it for customers.
“Customers kept telling us the same thing,” said Thomas Richard, CEO and Co-Founder of Unlimited Tech Solutions. “Their ERP couldn’t connect to HubSpot, and that gap was holding back the modernization of their sales and marketing. Data Courier closes it by sharing data the way those systems already do: through secure files. Being a Technology Partner means we don’t just configure HubSpot, we build on it.”
That means two ways to work with us. Install Data Courier and set it up yourself inside HubSpot. Or, if your project is bigger, bring in the same team that built the app to scope and run it for you.
Here’s how to go from install to your first sync.
Have these ready:
1. Your SFTP server’s address (host) and port, usually 22
2. A username, and a password or SSH key
3. A credit card for billing
Your SFTP server also needs to accept connections from the internet. If it sits behind a firewall, check with your IT team first.
Don’t have an SFTP server? Any standard SFTP server works, self-hosted or from a hosting service.
1. Open Data Courier in HubSpot and go to the Billing tab.
2. Click Get Sign Up Link.
3. Fill out the form and choose your plan.
Data Courier turns on as soon as billing is active. Until then, you’ll see a “Subscription Required” message and jobs won’t run.
1. Go to the SFTP tab and click Set Credentials.
2. Enter your host, port, username, and password or SSH key.
3. Click Save, then Test Connection.
If the test fails, try your login in a regular SFTP app first. If that works, ask IT to confirm the server accepts outside connections.
An export sends HubSpot data out to your SFTP folder. An import brings files from the folder into HubSpot. You can set up one or both.
1. Go to the Exports tab and click New Configuration.
2. Pick the HubSpot object, like contacts or deals, and the properties you want in the file.
3. Choose CSV or XLSX, a folder, and a file name.
4. Pick a schedule, from every 15 minutes to monthly.
5. Click Run Now to test it.
1. Go to the Imports tab and click New Configuration.
2. Tell Data Courier which folder to watch and what the files are called.
3. Click Browse to pick a sample file, then match each column to a HubSpot field.
4. Set a deduplication column so records aren’t created twice, then pick a schedule.
Tip: only sync as often as your team really needs. A daily or twice-daily schedule covers most use cases.

Once your data is moving, here’s where to check on it:
One thing to know: Data Courier runs on HubSpot’s own import and export tools, so HubSpot’s daily limits apply. Paid portals get 50 imports and 30 exports every 24 hours.
That’s it: five steps, and your systems are trading data with HubSpot.
