Who Is Unlimited Tech Solutions, and What Is Karana SFTP Sync?

Unlimited Tech Solutions, LLC is a technology solutions provider based in Tarpon Springs, Florida, U.S.A. Karana is our software product line, and Karana SFTP Sync is a scheduled, file-based data connector: it transfers data files between a Client’s source system, typically an on-premise or legacy system that doesn’t support a modern API and HubSpot, on a recurring schedule the Client sets up with us.

 

For data contained in the files a Client transmits through the Service (“Synced Data”), the Client decides what’s included and acts as the data controller for it. We act on the Client’s instructions to move that data - we don’t decide what it contains and aren’t responsible for the categories of data a Client chooses to include.

 

How Do We Collect Information Through the Service?

We obtain information when a Client sets up and configures the Service - for example, providing contact details for the people who will administer it and each time a scheduled sync runs and moves the files a Client has placed on the designated SFTP location.

 

What Type of Information Is Collected?

 

Account & Configuration Data

Names, email addresses, and login or credential information for the individuals a Client authorizes to configure or manage the Service, along with SFTP connection details and the Client’s sync schedule and field-mapping configuration.

Synced Data

The contents of the files a Client places on the designated SFTP location for transfer to or from HubSpot. This may include business records, contact information, or other data the Client chooses to include. As with the contact-form submissions described in our general Privacy Policy, Synced Data that lands in HubSpot is regulated under HubSpot, Inc.’s Data Processing Agreement.

Service & Diagnostic Data

Logs of sync activity for example, timestamps, file names, and success or failure status, that we use for troubleshooting, monitoring, and support.

 

How Is Your Information Used?

We may use information collected through the Service to:

• Operate and maintain the Service;
• Perform the scheduled file sync as configured;
• Contact Client administrators about a specific request they’ve made;
• Carry out obligations arising from the Client’s order form or contract with us;
• Notify Client administrators of changes to the Service; and
• Diagnose and resolve technical issues.

We do not sell Synced Data, and we do not use it for marketing, profiling, or any purpose unrelated to operating the Service.

We review our retention periods for personal information on a regular basis. Synced Data is retained only as long as necessary to complete a sync and for a limited period afterward for troubleshooting and support, after which it’s deleted, unless a longer period is required by law or agreed with the Client in writing. Account and configuration data is held for as long as the Client uses the Service, or as long as is specifically set out in the Client’s contract with us.

 

Who Has Access to Your Information?

We will not sell or rent your information to third parties. We will not share it with third parties for marketing purposes.

Third-Party Service Providers Working on Our Behalf

We may pass information to our third-party service providers, agents, subcontractors, and other associated organizations for the purpose of operating the Service on our behalf - most notably HubSpot, Inc., as the destination platform for Synced Data, and any infrastructure providers who help us host and run the Service. When we use a third-party provider, we disclose only what’s necessary to deliver the Service, and we have a contract in place requiring them to keep the information secure and not use it for their own direct marketing purposes. We will not release information to third parties beyond the Unlimited team or our ecosystem of service providers for their own direct marketing use, unless a Client has explicitly requested it or we’re required to by law - for example, a court order, or for the prevention of fraud or other crime.

 

How You Can Access and Update Your Information

For Account & Configuration Data, the accuracy of your information is important to us. If you change your email address, or any information we hold is inaccurate or out of date, please email us at info@unlimitedtechsolutions.com. As with our general Privacy Policy, you have the right to ask for a copy of any information we hold about you, and we may levy a $35.00 charge for information requests to cover our costs in providing those details.

For Synced Data, individuals should direct requests about their information to the Client that submitted it, since we process that data solely on the Client’s instructions and don’t have an independent relationship with the individuals it describes.

 

Security Precautions

When information is transmitted through the Service, we take steps to ensure it’s treated securely. Data moved through Karana SFTP Sync is encrypted in transit via SFTP. Non-sensitive details may be transmitted using other methods over the internet, subject to the method used, and - as with any transmission method - none can ever be guaranteed 100% secure. As a result, while we strive to protect information moved through the Service, we cannot guarantee its security, and Clients transmit data at their own risk. Once we receive information, we make our best effort to keep it secure on our systems.

 

International Data Transfers

The Service is hosted in the United States. If a Client or its data originates outside the United States, use of the Service involves transferring data to, and processing it in, the United States, which may have different data protection laws than that jurisdiction.

 

Cookies and Pixels

Karana SFTP Sync itself is a backend file-transfer service and does not set cookies. If you’re visiting our website, including any Karana SFTP Sync product or marketplace listing page, our general Privacy Policy describes the cookies used there and how to control them.
