OnceHub + HubSpot Integration

OnceHub (formerly ScheduleOnce) is an online scheduling platform for booking meetings and appointments. Our integration connects bookings, their status and meeting types with HubSpot, so every session is tracked as a meeting in the CRM.

Method: custom build on Karana (iPaaS); OvationTix exports are loaded through the Karana Import API (file-based, scheduled) rather than a live API link.
Built: Patrons → Contacts; ticket transactions → Deals; packages/subscriptions → a custom Pass object; run alongside Raiser's Edge NXT donor data in the same portal.

In plain terms: OvationTix sells tickets and packages for arts organizations. We've connected it to HubSpot by loading its exports through our Karana middleware, so every patron, ticket purchase and package lands in the CRM — next to donor history — for segmentation, campaigns and reporting.

Frequently Asked Questions

  • How does the OnceHub HubSpot integration work?

OnceHub (formerly ScheduleOnce) is a scheduling platform. We build a custom integration that writes each booking to HubSpot as a meeting and keeps it updated when the booking is rescheduled, canceled or completed.

  • What data can I sync between OnceHub and HubSpot?

Bookings → Meetings, booking status → meeting outcome, booking types → meeting types, and bookers → Contacts.

  • Can the integration be customized to our OnceHub setup?

Yes. Which booking pages sync, how statuses map to outcomes and how meetings group into tickets or deals are scoped to your process.

  • What happens when a booking is rescheduled or canceled?

Each meeting in HubSpot keeps the booking's source ID, so a reschedule, cancellation or no-show updates the same meeting record instead of creating a duplicate — and the new outcome can trigger the right follow-up workflow.

  • Why not just use Zapier to connect OnceHub and HubSpot?

Zapier works for simple handoffs, but multi-step zaps and spreadsheet workarounds often miss updates like reschedules and cancellations. A dedicated integration keeps every booking in step with HubSpot and maps statuses and meeting types reliably.
